What information I collect
Depending on how you interact with me, I may collect:
- Contact details such as your name, email address and phone number, when you fill in the contact form, email or call me.
- The content of your message and any details you choose to share about what you would like help with.
- Newsletter details: your name and email address if you sign up to my ‘Rooted and Real’ newsletter.
- Coaching information: if you become a client, information you share with me during coaching, which may include details about your health, wellbeing, diet and lifestyle.
- Website usage information such as the pages you visit, how long you stay and the type of device and browser you use. This is collected through cookies only where you have agreed to them (see “Cookies” below).
How I use your information
- To reply to your enquiries and arrange calls or sessions.
- To provide coaching services and keep appropriate records of our work together.
- To send you my newsletter, tips and offers, where you have signed up to receive them.
- To understand how visitors use my website so I can improve it.
- To protect my website and contact form from spam and misuse.
- To meet my legal, accounting and insurance obligations.
The legal basis for using your information
Under UK data protection law (the UK GDPR and the Data Protection Act 2018) I must have a lawful reason to use your personal information. I rely on:
- Consent: for my newsletter and for non-essential cookies such as website statistics. You can withdraw consent at any time.
- Contract: where I need your information to provide coaching services you have asked for, or to take steps before entering into an agreement with you.
- Legitimate interests: to respond to enquiries, run my business and keep my website secure, where this does not override your rights.
- Legal obligation: where I need to keep records for tax or other legal reasons.
Health information is a special category of personal data. I will only use health details you share during coaching with your explicit consent, and only for the purpose of supporting you.
Who I share your information with
I do not sell, rent or trade your personal information. I only share it with trusted service providers who help me run my website and business, and who must keep it secure and use it only on my instructions. These include:
- My website hosting provider, which stores the website and contact form submissions.
- MailerLite, which manages my newsletter mailing list.
- Google reCAPTCHA, which protects the contact form from spam. It may collect information about your device and how you use the page.
- Google Analytics, which provides anonymous statistics about how the website is used, only if you accept statistics cookies.
I may also share information where required by law, or to protect my rights or the safety of others.
Some of these providers may process data outside the UK, for example in the United States. Where this happens, appropriate safeguards are in place, such as the UK International Data Transfer Agreement or the UK–US data bridge.
How long I keep your information
I keep personal information only for as long as I need it for the purposes above. Enquiries that do not lead to coaching are deleted when they are no longer needed. Client records are kept for as long as needed to meet legal, accounting and insurance requirements and then securely deleted. Newsletter details are kept until you unsubscribe.
Keeping your information secure
I take appropriate technical and practical measures to protect your information from loss, misuse and unauthorised access, including a secure (HTTPS) website and limiting access to your information.
